PLAY ON THE GOLF COURSE
• No play is permitted before the first tee time of the day. The Ancient Links (Scotscraig) Limited reserves the right to allow play earlier than these times.
• The course will be opened for play as early as possible however greenkeeping duties may still be taking place at these times.
• It is expected that members play the course they are on in hole number order and not miss out holes as the greenkeeping duties take place generally in the same order.
• Members that come across greenkeepers undertaking their duties, then the greenkeepers have priority although it is very likely they will stand aside and allow the member to carry on playing.
• If members are regularly playing early, missing out holes or playing at a speed that prevents greenkeeping staff from completing their duties punctually the member(s) may be advised or even made to play later.
• If it is the player’s intention to begin their round anywhere other than the 1st hole, they should consult with the Starter or pro-shop staff first. Failure to do so may result in the Course Ranger asking the player(s) to step aside or be asked to leave the course if they are causing issues with the flow of play.
• Members and their guests may play from any tee. If the group decides to play from a tee other than the tee of the day, they must keep up with play and keep pace with those playing from the tee of the day.
• In winter, the use of mats comes into play for the long-term benefit of the Course and members. Players not using a mat from the appropriate place will: on the 1st breach, receive a two-week suspension of their playing rights; on a 2nd breach, receive a suspension of their playing rights for the rest of that Winter period; and on a 3rd breach, have their membership terminated.

SUSPENSION OR CANCELLATION DUE TO ILLNESS
• You can apply in writing to the golf operations team at: admin@scotscraiggolfclub.com to suspend your membership due to serious illness or major surgery or medical condition or disability (including temporary disability) or pregnancy or other exceptional personal circumstances. Such application shall include relevant details of the reason for the application and supporting documentation. We reserve the right to request further evidence to support your application (such as a doctor’s note confirming that you are unfit to play golf and the likely duration). Unless the circumstances which form the basis of your application are emergency circumstances, you must apply for the suspension in advance of the circumstances arising.
• We shall be entitled to accept or reject an application for suspension of a membership at our absolute discretion and for a period that we consider appropriate. Any suspensions granted shall be for an initial period of at least three months and no more than twelve months. In the event the circumstances which are the basis of your application are to continue beyond the initial suspension period, you are required to submit a new application, or the suspension period will not be extended. The terms of this section “Suspension or cancellation due to illness” shall apply to any applications for an extension of the suspension period.
• You must notify us as soon as possible in the event of a change in your circumstances which means you are able to play golf again.
• Without limiting our right to accept or reject each application for suspension in our sole discretion, suspensions will usually only be granted to relevant members on one occasion per membership year and, in the event you make repeated requests for suspensions for non-medical reasons, we reserve the right to suggest terminating your membership and applying for a membership at a later date.
• If we agree to suspend your membership due to illness or major surgery or medical condition or disability (including temporary disability) or pregnancy or other exceptional personal circumstances: (a) no refund shall be provided and, if you are paying for your membership by direct debit, your payments will continue to be taken during the suspension period as normal. ; (b) we shall be entitled to lift the suspension on the earlier of (i) the end of the period for which we agreed to suspend your membership; (ii) the end of the period of time set out in the doctor’s note; (iii) notice from you that are able to play golf again; and/or (iv) as otherwise agreed with you.
• Once the suspension has ended, in respect of members who pay by direct debit payments, your ticket will be reinstated, and a credit provided for the membership suspension period with payments adjusted on a pro-rata basis. For those who paid in full for the season, any pro-rata credit from the suspension (i.e. the relevant fees which were payable in relation to the approved suspension period) will be carried forward into the next year and applied accordingly by way of discount to your membership fee for the following year. Should you decide not to renew your membership the following year, no refund will be provided.
• You will not be eligible to enter or play in competitions at the club during any suspension period.
• Any outstanding fees owed by you to us must be settled before a suspension takes effect.
• No refunds/credits will be given for any period prior to your request being accepted, regardless of whether you have played or not.

Encouraging Golf Participation

This will increase the accessibility of tee times and give more golfers a chance to play.

• A member can book on up to 3 guests 8 days ahead Monday-Friday.
• At the weekend, only one guest per member is allowed per tee time unless the member uses any available Visitor tee times or the final hour of member times.
• The member must play with their guest(s).
• The member is responsible for their guests conduct on the course and they are expected to follow the member rules and regulations.

ON THE COURSE
Safety
Please be aware of members of the public such as dog walkers who may be using the public right of way and could be endangered by a stray shot.
Players shall ensure that the group in front are out of range before they play a shot and make certain that no one is standing close by when a shot or practice swing is made.
Players shall alert greens staff who may be working on the course nearby or ahead, before a stroke is played in case they are struck by a ball.

Pace of Play
Players shall play “Ready Golf” when appropriate. “Ready Golf” is a term used to indicate that players should play when they are ready to do so, rather than adhering strictly to the “farthest from the hole plays first” stipulation in the rules of golf.
It is a group’s responsibility to keep up with the group in front. If a group loses a clear hole and is delaying a group behind, they shall invite the group behind to play through.
Where a group has not lost a clear hole, but it is apparent that the group behind can play faster, they shall invite the group behind to play through. The term “group” includes a single player.
If a player believes their ball may be lost or out of bounds, they shall play a provisional ball to save time. As soon as it becomes apparent that the ball may be difficult to find, the preceding group shall be waived through.

LIABILITY AND INSURANCE
The Ancient Links (Scotscraig) Limited takes reasonable steps to design, maintain, and operate the course safely and in line with industry best practices.
As such, we are not legally liable for injuries or damage caused by wayward golf balls unless proven negligence in our management.
Golfers are individually responsible for their actions on the course and are expected to play with due care and attention, observe all course etiquette and local rules, accept personal responsibility for any damage or injury caused.
We recommend all golfers carry their own personal liability insurance, either independently or through golf affiliation bodies.
If a golfer strikes a person or property they are expected to stop play and immediately, offer assistance, exchange contact details with the affected person (if appropriate), notify a member of the Scotscraig team or report to the Golf Operations Team within the pro-shop, take photos of the damage if safe and appropriate.

CARE OF THE COURSES
Pitch marks and divots
Greens staff can be greatly assisted by repairing pitch marks on arriving at a green and replacing divots following a stroke. Please make sure you have a pitch mark tool before you begin your round.
Bunkers
Before leaving a bunker, please smooth over the sand using the rake provided, sweeping the sand towards the face. The rake should be left in the sand with the handle resting on the rim at the side of the bunker.
Greens
In addition to pitch mark repairs, please help maintain the greens by avoiding taking trollies across them. Handle the flagstick with care when replacing it, and refrain from using a club to remove your ball from the hole, as this may cause damage.
Please observe all notices, wherever they are on the course, regulating the movement of traffic and golf trolleys.

COURSE RANGERS
Course Rangers may be present on the course, ensuring a smooth pace of play and an enjoyable experience for all golfers. They monitor the course, assist players, and help maintain etiquette and safety standards. If you need guidance or have any concerns, look out for them, they are here to help. Please respect their role in keeping the course running efficiently for everyone.

DRESS CODE
The Ancient Links (Scotscraig) Limited maintains a relaxed but respectful approach to dress. Clean, tidy clothing designed for golf is welcomed.
The intention of our dress code is to ensure all golfers feel comfortable and respected. If in doubt, please contact the Professional Shop in advance and we will be happy to help.

DOGS/PETS
We recognise that dogs may be a natural part of everyday life for many members and visitors. We aim to take a practical and considerate approach that balances this with the enjoyment, safety and comfort of all golfers and guests.
Well-behaved dogs are welcome on the course and club grounds provided they are always kept under control, do not interfere with play, and are considerate of other golfers, staff and wildlife.
Owners are responsible for ensuring that dogs:
• are kept on a lead;
• do not disrupt play or distract other golfers;
• do not cause damage to the course or facilities; and
• are cleaned up after at all times.

For the benefit of all, dogs are not permitted in certain areas of the clubhouse or facilities, and may be restricted during busy periods, competitions, or where course conditions, safety or operational considerations require.

The Club reserves the right to exercise reasonable management discretion in relation to dogs on the course or grounds, including requesting that a dog be removed where its presence is causing disruption, discomfort or concern. Any such discretion will be applied sensibly, proportionately and in good faith, with the intention of preserving a positive experience for everyone.

CANCELLATIONS
Cancellations must be made as early as possible to give consideration to members who may be waiting on a suitable cancellation.
If the cancellation is made unreasonably late and does not therefore allow sufficient opportunity to rebook the tee time, the Starter may regard this as the same as players not turning up.
Members who repeatedly cancel late may be written to by the Head of Golf Operations for investigation and possible appropriate action.

BLOCK BOOKINGS
Block bookings, i.e. bookings for more than one time, are not normally accepted, except for priorities already agreed for the season. However, at the discretion of the Head of Golf Operations, such bookings may be accepted if they do not adversely affect other members. Each individual tee time within a block booking must contain at least two names of members.

COURSE CLOSURES
If the course is closed for the entire day due to weather or other circumstances, all scheduled member bookings for that day will be lost and will not carry over.
If play is suspended and the course(s) reopen later that day (e.g. the course reopens at 10:00 AM), all bookings prior to the course reopening will be lost and not carried forward. Any booking after the reopening of the course will remain unaffected.
All guest fees for bookings effected by course closure/suspension of play will be refunded in full or an alternative date arranged.
Players affected by closures are welcome to check for available tee times later that day or on alternative dates.

PHOTOGRAPHY & FILMING
The Ancient Links (Scotscraig) Limited– Photography & Filming Policy

This policy statement applies to all members of The Ancient Links (Scotscraig) Limited, hereon referred to as ‘ALGC/SC’’ throughout this policy.
ALGC/SC will, on occasion, take photographs and videos as an aid to routine business operations including, but not limited to, capturing memories from events and marketing/PR opportunities. When this is the case, members will be informed in advance via email or by printed notices at or near the location. At this time, you will have the opportunity to advise the team if you would like to be excluded from any filming or photography taking place.

The following sets out how ALGC/SC use photography and videography to carry out its day-to-day business activities.

Purpose
There may be times when you are either the object of an ALGC/SC photograph/film, or at least it is possible that you might be visible on said photograph/film. The purpose of this policy statement is to:
• protect Members who take part in ALGC/SC services, events and activities, specifically those where photographs and videos may be taken
• set out the overarching principles that guide our approach to photographs/videos being taken of members during our events and activities
• to ensure that we operate in line with our values and within the law when creating, using and sharing images of members.
Please note that any historical photography/filming prior to the introduction of this Policy were taken with verbal consent from the members. This Policy is a formalisation of such consent.
For the avoidance of doubt, photography/filming shall mean any image, video, audio or other recording stored in or on any optical storage medium, magnetic storage medium, electronic memory, or any tangible medium of expression, as currently exists or which becomes available in the future.

Legal Framework
This policy and consent form is written in compliance with the Data Protection Act 2018 and in direct conjunction with our Members privacy Notice and our standard Privacy Policy.
We recognise that:
• sharing photographs and films of our activities can help us celebrate the successes and achievements of our business and Members, provide a record of our activities and raise awareness of our organisation
• the welfare of the Members taking part in our activities is paramount
• Members have a right to decide whether their images are taken and how these may be used, regardless of age, disability, gender reassignment, race, religion or belief, sex or sexual orientation
• consent to take images is only meaningful when the individual understands how the images will be used and stored

Photography and/or filming for SC use
• We recognise that ALGC/SC may use photography and filming as an aid to routine business operations including, but not limited to, capturing memories from events, marketing opportunities etc. This should only be done with ALGC/SC’s permission and using our equipment, or by hiring in an approved external photographer.
• ALGC/SC reserve the right to copy, modify and reproduce images for business purposes.
• You would agree to waive any claims to compensation or royalties for the use of these images.

If we hire a photographer for any content, we will seek to remain GDPR compliant by:
• providing the photographer with a clear brief about appropriate content and behaviour
• reporting concerns regarding inappropriate or intrusive photography

Photography and/or filming for wider use
There will be occasions where people such as, but not limited to, journalists or photographers (not hired by ALGC/SC), wish to record photography/filming and share them professionally or in the wider world. If you do not wish to appear in such photographs/film, please either avoid the area in which photography/filming is taking place or tell the photographer so that they can take the appropriate steps to ensure you are not captured.
If consent to take photos or filming is not given:
If you do not consent to photographs being taken, we will respect your wishes. We will agree in advance how you would like to be identified so the photographer knows not to take pictures of you. Should you give consent but wish to revoke it in the future, you may do so by submitting a request in writing to the Head of Golf Operations.
Your rights
As a data subject, you have a number of rights. You can:
• access and obtain a copy of your data on request;
• require ALGC/SC to change incorrect or incomplete data;
• require ALGC/SC to delete or stop processing your data, for example where the data is no longer necessary for the purposes of processing;
• object to the processing of your data where ALGC/SC is relying on its legitimate interests as the legal ground for processing;
• and ask ALGC/SC to stop processing data for a period if data is inaccurate or there is a dispute about whether or not your interests override ALGC/SC legitimate grounds for processing data.

If you would like to exercise any of these rights, please contact the Head of Golf Operations. You can make a subject access request by completing an ALGC/SC form for making a subject access request. This form is accessible by requesting a copy from a member of the Golf Operations Team. If you believe that ALGC/SC has not complied with your data protection rights, you can complain to the Information Commissioner.

Storing images
We will store photographs and videos of Members securely, in accordance with our Members Privacy Policy and our standard Privacy Policy. We will keep hard copies of images in a locked drawer and electronic images in a protected folder with restricted access.
ALGC/SC may also share personal data with independent third-party companies that have been engaged for these purposes. ALGC/SC may also transfer my personal data to countries outside the European Economic Area (EEA), such as (but not limited to) the United States of America, which have different, and less protective data protection laws. But, where the latter is the case, ALGC/SC relies on admissible data transfer mechanisms, such as Standard Contractual Clauses, Binding Corporate Rules or the US recipient’s Privacy Shield certification, if any.
Images will be stored for an indefinite period for historical record, archiving and cataloguing purposes. We will never knowingly retain images on unencrypted portable equipment such as laptops and mobile phones. If any data is transferred via a mobile phone or portable device, it will be transferred onto the secured network and deleted from such device following conclusion of its purpose of use. Images which are taken for the purpose of a member or event entrance identification will be removed from ALGC/SC systems in line with our Members Privacy Policy.
